Privacy Policy
This policy explains what personal information Writopin uses, why we use it, who may receive it and how you can manage it.

Who is responsible for your information?
WRITOVA LTD develops and manages Writopin and is responsible for the information described in this policy. Its registered office is 128 City Road, London, EC1V 2NX, United Kingdom. Use the contact form to ask a privacy question or make a request about your information.
What information do we use?
We use your name, email address and sign-in details; your workspace content, such as Pins, designs, templates, Brand Kits, uploaded files, article or blog text and schedules; and records needed to run and protect the service, such as account activity, device and error details. Article or blog text may be collected from a URL you ask us to process. If you connect Pinterest or sign in with Google, we receive the account details those services share with us. Stripe provides payment status and invoice details; we do not receive your full card number. If you contact us, we use the details and message you send.
Pinterest and sign-in details
When you connect Pinterest, we receive the account and board details needed for the features you choose, along with an access token for the permissions you approve. The token is encrypted. We never see your Pinterest password. Disconnecting the account removes Writopin’s stored token and pauses its scheduled Pins. You may also need to remove Writopin from Pinterest’s connected apps to revoke access there. If you sign in with Google, Google sends us the account details needed to confirm your sign-in.
Canva
Connecting Canva is optional. When you connect it, Canva asks you to approve read access to your design details and content. Writopin receives an access token, which is stored encrypted, and your design list: titles, thumbnails and page counts. We only export the design and page you choose to import, and we never see your Canva password. The exported image is copied into your workspace’s file storage and handled like any other uploaded image; we do not keep Canva’s temporary download link. Canva is a separate service with its own terms and privacy practices, and Writopin is not affiliated with Canva. Disconnecting in Settings deletes Writopin’s stored tokens and asks Canva to revoke access; you can also remove Writopin in your Canva account. Images you already imported stay in your workspace until you delete them.
Affiliate program
If you apply to the Writopin Affiliate Program, we use your account details and what you tell us in the application to review it, and we keep the decision. If you are approved, we keep your referral code, the visits, sign-ups and payments linked to it, the commission we calculate and your payout details (encrypted) for as long as needed to pay you, keep accounting records and meet legal duties. If you sign up through someone’s referral link, we record which affiliate it was, and the affiliate can see your name and email address only in a partly hidden form (for example m***@gmail.com) and whether you subscribed. We count visits to referral links without storing who the visitor is. We do not use fingerprinting or cross-device tracking for referrals. Affiliate commission is based on payment records from Stripe.
Why do we use it?
We use your account and workspace information to provide the features you ask for, including creating and editing Pins, connecting accounts, scheduling and support. We use this information because it is needed to provide your service. We use technical and security records to protect Writopin, prevent misuse and fix errors; our reason is our legitimate interest in running a safe and reliable service. We keep billing records to manage payments and meet accounting duties. We use Google Analytics or Tag Manager only if you allow analytics; our reason is your consent. You can use Writopin without allowing optional analytics.
AI features
When you ask Writopin to create text or images with AI, we send the prompt and the source text or files needed for that request to the AI service selected for the feature. The provider may change as the service changes. The provider’s own terms explain how it handles information it receives. Check the result before using it. Writopin does not use AI to make decisions about your legal rights or similar matters.
Who may receive information?
We share information with the providers needed to run Writopin, including hosting and file storage, email delivery, AI services, Pinterest, Canva when you connect it, Stripe and Google when you use Google sign-in, Google Analytics or Google Tag Manager. Stripe handles card details; Writopin stores payment and invoice references. People you invite to a workspace can see its content based on their access. Some Writopin design fonts are loaded from Google Fonts, which receives a request from your browser when those fonts are used.
Where may information be handled?
WRITOVA LTD is registered in the United Kingdom, and its team may access information from the United Kingdom and Bangladesh. Our hosting, storage, email, AI, payment and analytics providers may also handle information in other countries. When a transfer needs legal protection, we use a method allowed by the data protection law that applies. This may be an official decision that a country protects data or approved contract terms. Contact us for the countries and protections used by a particular provider.
How long do we keep it?
Workspace content stays in your account until you delete it or the workspace is deleted. Activity records are kept for up to 365 days and AI usage records for up to 180 days. We keep billing records for the time needed to manage payments, handle disputes and meet legal duties. Recovery backups are removed under our backup cycle, so deleted items may remain in a backup for a short time. We remove or anonymise information when we no longer need it.
How can you export or delete information?
You can export workspace data from Settings → Data & privacy. You can delete a workspace from Settings → Workspace & team. Account deletion is in Settings → Profile & security. Before deleting an account, you may need to cancel scheduled Pins, resolve shared-workspace access and confirm that an active paid subscription should end immediately. A workspace you own alone is deleted with its content and stored Pinterest token. Some billing or legal records may need to be kept. Contact us if you need help with a request.
Your privacy rights
Depending on the law that applies, you may ask to see, correct, delete or receive a copy of your information. You may also ask us to limit or stop some uses, object to uses based on our legitimate interests, or withdraw consent. To make a request, use our contact form. We may ask for information to confirm your identity and will normally reply within one month. You can complain to the UK Information Commissioner’s Office (ICO), or to your local data protection authority.
Information you need to provide
Some account details are needed to create an account and provide the service. If you do not provide them, you may not be able to use that feature. Connecting Pinterest is optional, but you need to connect an account to use Writopin’s Pinterest publishing features. Analytics is optional.
How we protect information
We use account and workspace permissions to limit access. Connections use HTTPS, uploaded files are stored privately and shared through short-lived links, and sensitive credentials are encrypted at rest. No online service can promise perfect security, so keep your sign-in details private and contact us if you think your account has been accessed without permission.
Updates to this policy
We may update this policy when Writopin or the law changes. We will post the latest version here and change the date above. If a change affects how we use your information, we will explain it before the new use begins where the law requires.
